June All-Team Call

Our fourth call for the whole planning team, facilitated by Sandy on June 23rd, focused on getting everyone up to speed on all the various moving parts in the planning process. Sandy talked about the “Pieces of the Conference” note in Evernote and the workshop review process. Courtney talked about next steps in conference design. Marla Crockett gave an update on the local team’s work on publicity, arts, and field trips. Roshan Bliss updated us on youth/student outreach efforts. July 2nd Design Call

Courtney facilitated this call for those interested in helping with overall design of the conference (especially the plenary sessions and overall flow of the event).  Courtney outlined the design process and the various elements of design we need to work on. She talked a little about how we represented the theme at the last NCDD national conference (see www.ncdd.org/14448 for a great post on this). We went into a little more depth about some of the “pieces” we need to integrate into the design, like the Mapping the Field project, our “Caucuses” or structured networking sessions, and addressing the need for a D&D “rapid response mechanism.” At at the end of the call, we dug a bit into how best to capture what happens in the workshops and potentially bring exceptional workshop content into the plenary sessions…

July 3rd All-Team Call

Courtney facilitated this All-Team Call, where we heard updates on all the work that is going on right now. Courtney updated us on the workshop review and selection process. Marla Crockett (local team leader) updated us on field trips and how we’ll be incorporating the arts at the conference. Roshan updated the group on youth outreach and engagement efforts. Sandy led a discussion about how/where we might fit some additional structured networking into the schedule, and how we might use our time on Saturday afternoon/evening to best meet attendees’ needs…

July 22nd All-Team Call

Courtney facilitated this All-Team Call, where we once again heard updates on all the work that is going on right now. Courtney updated us on the design process. Marla Crockett (local team leader) and Polly Riddims (logistics manager) updated us on field trips and how we’ll be incorporating the arts at the conference. Sandy, Roshan and other participants of the recent Frontiers of Democracy conference talked about their observations of that event and how they might inform NCDD2014. Sandy also led a discussion about how ongoing projects related to mapping our field are being incorporated into our conference…

August 5th All-Team Webinar

On Tuesday, August 5th, we used join.me to for both audio and screensharing. We focused this call on reviewing and assigning roles related to plenary session activities. We also discussed last week’s Confab Call on “Event Closings” (www.ncdd.org/15697) and implications for the conference closing. Since this All-Team call included screensharing, we are sharing a link to its video recording (in MP4 format). If you’re interested in viewing the video you can download it from the link below, but please be aware that it’s a very large file (~2Gb).  We are still sharing the audio for those interested in the content of the call.

August 19th All-Team Call

No recording this week, but Courtney distributed the following summary on the Team list:

  • Sandy mentioned in her email on Monday, but I want to point out again that the conference section of the website has lots of new updates (www.ncdd.org/ncdd2014). Note that at the bottom of every page in the conference section, you’ll see a menu that links to pages you’ll probably want to check out and share with others. In particular, Andy got the workshops list up on the site at www.ncdd.org/ncdd2014/workshops, and the schedule is up at www.ncdd.org/ncdd2014/schedule with much more information. Please start sharing this information with your contacts!
  • I sent everyone access to a Google Doc last week with the more detailed copy of the conference schedule – this will be updated as work progresses and is a good reference for you as we continue to work on various parts of the conference.
  • Many groups have gotten started working on their individual pieces this week (see “Things Needing Work” in Evernote), and others have scheduled calls for next week. I will be prompting those who I have not seen activity from. Please keep me up to speed on your progress (feel free to keep me copied on your emails). I’ve been sharing my notes from calls with the respective group, and I have also added these notes into the conference notebook in Evernote (see “Group Work on Plenary Elements” and “Networking” notes). Please feel free to add to these with any notes you have, or add a new note for your group.
  • Our next All-Team call is scheduled for Wednesday, September 3rd at 2pm Eastern/11am Pacific. We’ll be scheduling additional All-Team calls to follow this one and will get those dates to you soon.

Future All-Team Call Schedule

So here’s the schedule for upcoming calls “All-Team Calls.” All planning team members are welcome to participate in these calls, which we use to (1) keep the team updated on various projects, decisions, challenges, etc. and (2) give you all the chance to connect with team members about whatever you’re working on (or ideas you have) for the conference, and (3) get your input on any decisions or issues we may be struggling with.
